OCASD Attendance Information
The Oil City Area School District believes that regular school attendance is a necessary component to a successful education. The district is committed to working with families to ensure the best possible educational experience. While our goal is to have students in school every day, we understand that sometimes students must miss school. In order to help families understand our attendance policy, we have included some important information below.
The information contained on this page is part of a county-wide effort to address truancy. The Oil City Area School District has partnered with Children, Youth, and Family Services, Juvenile Probation, and the county Magistrate’s office to implement the following protocol.
If you have any questions about the District’s attendance policy, please do not hesitate to contact your child’s school.
Unlawful/Unexcused Absence – an absence where a valid written excuse was not received within three (3) days of the student’s return to school.
Half Unexcused Absence-a half day absence where a valid written excuse was not received within three (3) days of the student’s return to school. Two half day absences equal one full unexcused day.
Unexcused Tardy – a student arrived late to school without a valid written excuse.
Parent Excuse – any excuse written by a student’s parent or guardian.
Doctor’s Excuse – any excuse provided by a doctor’s office.
Any time a student is absent from school (either for the whole day or part of a day), they should return to school with a valid written excuse. Sleeping in and missing the bus are not considered valid reasons to miss school.
Parents are permitted up to ten (10) days every year that they can write an excuse for a student. Doctor’s Excuses do not count toward the ten (10) day limit. If a student has used their ten (10) parent excused days, all further absences will be marked unlawful/unexcused unless they are a Doctor’s Excuse.
After ten parent excused days, students will be required to obtain a Doctor’s Excuse for any further absences.
Tardy to School
Every three tardy to schools will count as one (1) absence. For example, three excused tardy to schools (where a student provided a valid written excuse) will count as one (1) day absent from school. Three unexcused tardy to schools will count as one (1) unlawful/unexcused absence from school.
All excuses must be turned in within three (3) days of a student’s absence. If any excuse is turned in after the three (3) days, the absence will be marked as unlawful/unexcused.
All excuses must be written or faxed to the student’s school
If a student forgets to turn in an excuse, the day will be marked unlawful/unexcused if it is not handed in within the three (3) limit.
When logging in to Parent Portal or when viewing a printed attendance record, the following codes may appear:
A=Absent from school (but still eligible to turn in excuse); EX=All Acceptable Excused Days; TE=Tardy Excused; TU=Tardy Unexcused; HFUX=Half Unexcused; HFEX=Half Excused ; HX=School/Nurse sent home Half Day; DR=Doctors Excuse; LX=Full Day Unexcused; SA=School Activity; HOM=Homebound; OSS=Outside Suspension; VAC=Vacation; PSY=Psychological Reasons
Student Attendance Improvement Plan (SAIP)
When a student receives three (3) unlawful/unexcused absences in a school year a Student Attendance Improvement Plan Meeting will be scheduled. Parents will receive a notice of when the meeting has been scheduled. If this time is inconvenient, please contact the school to reschedule the meeting. Student Attendance Improvement Plan Meeting has been scheduled, if a student receives any further unlawful/unexcused absences throughout the school year, the district is required to automatically file a truancy citation with the local magistrate.
A first notice letter will be mailed home after a student receives one (1) unlawful/unexcused absence. This letter is a notification that an excuse was not received.
A second notice will be mailed home after a student receives two (2) unlawful/unexcused absences.
A third notice letter will be mailed home after a student receives three (3) unlawful/unexcused absences. This letter will also serve to notify parents of the scheduled Truancy Elimination Meeting time and date.
A seven day notice will be mailed home after a student has used seven (7) of their ten (10) allowable parent excuse days per year.
A doctor’s excuse letter will be mailed home after a student has used all ten (10) parent excuse days allowed per year.
If you pick up your student from school or bring them late to school, you must provide a written excuse for the absence. Signing them into or out of school does not automatically excuse the absence.
